Lighthouse Bookkeeping

Bookkeeping for Contractors

Project income and expenses can become difficult to follow when several jobs are moving at once. We help organize your QuickBooks Online records so deposits, invoices, job purchases, and business expenses have a clear place.

Project Income and Customer Deposits

From a deposit to the final invoice, the records should show what was billed and what was received. We organize the supporting information around your actual billing process so project payments do not disappear into an unexplained total.

Job Costs and Subcontractor Records

Materials, subcontractor payments, and other direct costs need consistent records.

We discuss whether project-level tracking is part of your plan and keep it distinct from general operating expenses.

Reports for Better Conversations

Clearer records support a review of spending, unpaid invoices, and business performance. They also help you provide organized information to your tax professional when needed.

How We Work Together

We begin with a consultation, review your QuickBooks Online setup, and agree on the services.

You share statements and supporting records through the process we establish together and answer transaction questions.

We complete the bookkeeping and reports included in your plan.

Choose Ongoing Support or Start With Cleanup

If the books are current, we can discuss a monthly routine. If prior periods are incomplete or balances are unclear, cleanup is reviewed and quoted separately. Invoice and bill support can be added to a clear service plan.

Record-Keeping Details Contractors Often Need to Track

Contracting work generates paperwork from several directions at once: customer deposits, progress payments, supplier invoices, subcontractor bills and equipment costs. A clear structure keeps each of those from blending into a single total.

Deposits and progress payments

Customer payments often arrive before, during and after a job. Recording them against the right customer and project makes it easier to see what has been billed, what has been received and what is still open.

Materials and supplier bills

Purchases for a specific job are easier to review when they are identified with that job instead of being grouped with general operating expenses.

Subcontractor payments

Payments to subcontractors need consistent records showing who was paid, how much and for which work. Ask your tax professional which documents to collect from each subcontractor.

Equipment, vehicles and overhead

Tools, fuel, insurance and office costs support the whole business rather than one job. Keeping them separate helps you compare job costs with overhead.

Questions About Working With Lighthouse

Can you catch up older records?

We can review historical periods and quote the work based on the documents and condition of the books.

Is industry-specific reporting included?

We discuss the tracking you need and confirm whether your software, records, and engagement support it. Additional reporting is not automatically included in every plan.

Can bookkeeping show which jobs are profitable?

Job-level reporting depends on how transactions are tracked in QuickBooks Online and on what your subscription supports. We discuss the level of project tracking you need before work begins and confirm what is included in the agreed scope.

What if I mix personal and business spending?

Mixed spending makes records harder to review. We can help organize what is already there, and it is worth talking with your tax professional about keeping business and personal transactions separate going forward.

How do you handle receipts and invoices?

We agree on a simple way to share them, such as uploading documents or connecting accounts, and we ask questions about anything unclear so it can be recorded correctly.

Do you prepare my tax return?

Lighthouse provides bookkeeping and reports. Tax preparation and filing are separate services handled by a tax professional, and organized records make that work easier.
